New web interface
We are thrilled to announce a major update: we have replaced the old end user web interface with our newly built web application. This modern web app features a sleek, polished design that provides a dramatically faster and more intuitive experience, consistent with our mobile apps. There are some changes from our old web interface version that might need some time to get used to, but we hope you’ll eventually love it as much as the new mobile apps launched 2024.
Regular updates will be provided as we continuously solve bugs and make improvement initiatives to enhance the web app. We hope you enjoy using this new experience as much as we enjoyed building it for you!
Home view
- Access the home menu, featuring all expense types available for your organisation, by tapping the plus icon at the bottom of the screen. The new user interface includes customisable colours to match your branding.
- For users with approval permissions, a header is available to view expenses and approval screens. For users without approval permissions, these options in the header remain hidden.
- Same as in the mobile apps, you can also swipe with your mouse to submit or delete expenses and expense reports from the list view.
Expenses
- For expenses, a simple division and overview of expenses in the To-do, Submitted, and Done states:
- To-do: Drafts of expenses and expense reports that have not yet been submitted.
- Submitted: Expenses and expense reports that have been submitted to the approver. These will remain in this status until processed by the administrator and sent for payment.
- Done: Expenses and expense reports that have been approved and are either scheduled for payment or have already been reimbursed.
- Purchases tab that allow users to connect VISA and Mastercards to get real time transactions into the product, which can be used as a starting point in the expense flow.
Expense types
- Receipt Expense: Updated with a fresh new user interface, but retaining the same functionality as before.
- Split Expense: A new iteration allowing the addition of multiple expense categories, cost centres, etc., for the same receipt within the same expense.
- Mileage: Refreshed with a new user interface, but with the same functionality as before.
- Per Diem (Subsistence Allowance): Updated with a fresh new user interface, while keeping the same functionality.
- Simple Suggestions: Based on recent inputs, relevant suggestions will appear below input fields.
- Meal benefits with a new user interface, but with the same functionality as before.
- Fuel benefits with a new user interface, but with the same functionality as before.
Expense reports
- Simply submit an expense without adding it to an expense report.
- Expense reports can be used to group multiple expenses if needed, with a new user interface but overall the same functionality.
Approval
- A brand-new approval flow in the new web interface allows you to review the most crucial information directly in the web app's interface, eliminating the need to check the generated PDF report.
- A simple division and overview of expenses awaiting approval in "To-do" with expenses to approve, sorted in a timeline or by employee.and those already approved in tab "Approved".
- The previous global To-do list including all actions needed are now contextualized and belong under each view. E.g. expenses to approve for organization A, is now placed under the approval views inside Organization A.
- Easily review expenses and approve them all at once in a report, or approve individual expenses one by one, while toggling between approving or rejecting expenses with just a few clicks.
- A clear flow to add a rejection reason when rejecting an expense or expense report.
- Same as in the mobile apps, you can also swipe with your mouse to approve or reject expenses and expense reports from the list view.
Settings
- Under the new side menu that is opened when clicking the Menu option in the top right corner in the header
- Manage all settings for your account and the apps with ease under personal account settings, app settings, notification settings and approval settings where temporary approvers can be maintained.
- If you are acting as a proxy for other users, administrated from the admin interface, you can now find the switch to other users under the side menu by clicking your name.
Notifications
- The basic functionality of the app's notification history can be found under the bell icon in the header.
- If a user belongs to more than one organisation, notifications will prompt them to connect an emailed receipt to a specific organisation.
Admin view
The split function is now available under Review on Organisation level.
New UI updates to level-up the WL branding

Enhance the look and feel of the platform and streamline your navigation!
- Refreshed Branding: Introducing a secondary branding color on the top header an side menu, which can differ from the button color. A new possibility to add the WL partner logo in the top left corner in the header shown in the mobile apps and the new web interface for employees submitting expenses and approvers. (If no new color or logo are added in the CA admin interface level current primary branding color is still used and the organisational icon keeps it’s placement in the header.)
- Header Redesign: The overall header design has been revamped for a cleaner experience.
- Organisation Picker: The organisation picker has been relocated under the header for users belonging to more than one organisation, to give place to the WL Partner logo in the header.
For admin and end user
You have the ability to exclude a category from the receipt image requirement. This configuration is managed within the 'Manage Input Fields' section. In Sweden it is mandatory with a receipt but for example in Norway it is not needed for Roadtoll.
